How Sapience Analytics handles information from enquiries, benchmark requests, business contact research, consulting work, and website interactions.

Scope

This privacy notice explains how Sapience Analytics handles personal information connected with website visits, inbound enquiries, benchmark requests, calendar bookings, consulting work, and business development activity.

It is written as an operational draft for the current business processes. It should be reviewed as systems, service providers, or legal requirements change.

Information collected from inbound enquiries

When you submit a form, book a time, email, or otherwise contact Sapience Analytics, information collected may include your name, work email, phone number, company, role, fleet or asset details, project context, message content, booking details, and ordinary technical information such as referral source or campaign parameters.

If you provide documents, screenshots, spreadsheets, or operational examples, Sapience Analytics may handle the information in those materials for the purpose of understanding the enquiry or delivering agreed work.

Business contact data from public work sources

Sapience Analytics may collect limited business contact information from public work or business sources where the information appears in a professional capacity. Sources may include company websites, public directories, professional profiles, event listings, trade publications, supplier pages, or business research tools.

This may include a business name, contact name, role, work email, work phone number, public profile URL, company location, fleet or industry indicators, and the source used to find the contact. Sapience Analytics does not intentionally collect sensitive information for outbound marketing.

Purposes for handling information

Information may be used to respond to enquiries, qualify fit, prepare for a diagnostic call, produce a benchmark scorecard, provide proposals, deliver consulting services, support CRM administration, keep records, improve website and service performance, manage billing or project documentation, and maintain business operations.

For business development, information may be used to identify relevant organisations, record the source of contact details, make a targeted business contact, manage follow-up, suppress contacts who opt out, and avoid repeated outreach where a contact has asked not to be contacted.

Service providers and CRM

Sapience Analytics may use service providers for website hosting, forms, email, calendar booking, CRM, analytics, automation, documents, cloud storage, project delivery, and security. Information is shared with those providers only where reasonably needed for the relevant service or business process.

Sapience Analytics does not sell personal information. If a client project requires sharing information with another provider, supplier, or platform, that sharing should be limited to the agreed project purpose.

Direct marketing and opt-out

Permission to contact you about an enquiry or benchmark request is separate from optional consent to receive future marketing updates. Declining optional marketing does not prevent Sapience Analytics from responding to the service request you submitted.

Where permitted by law, Sapience Analytics may send relevant business-to-business communications about fleet intelligence, operational systems, websites, automation, analytics, or related services. Before outbound contact, Sapience Analytics aims to record the source used and the applicable consent or other lawful basis for the communication.

Commercial emails should identify Sapience Analytics and include a practical way to opt out. You can also opt out at any time by emailing danny@sapienceanalytics.com.au. Opt-out requests will be recorded so future marketing contact can be suppressed.

Source, access, and correction requests

You may ask Sapience Analytics what business source was used to find your contact details, request access to personal information held about you, or ask for incorrect information to be corrected.

Requests can be sent to danny@sapienceanalytics.com.au. Sapience Analytics may need enough information to verify the request and locate the relevant records.

Retention

Information is kept for as long as it is reasonably needed for enquiries, benchmarking, consulting delivery, client records, business administration, legal or accounting record keeping, CRM history, and opt-out management.

Where information is no longer needed, Sapience Analytics may delete it, de-identify it, archive it with restricted access, or retain a minimal suppression record so an opt-out request can continue to be honoured.

Security

Sapience Analytics takes reasonable technical and organisational steps to protect information from misuse, interference, loss, unauthorised access, modification, or disclosure.

These steps may include access controls, provider security settings, password and account controls, multi-factor authentication where available, limited sharing, secure cloud services, and review of stored information. No online or email system can be guaranteed to be completely secure.

Overseas processing

Some service providers used for hosting, email, CRM, analytics, documents, automation, or cloud storage may process or store information outside Australia.

Where overseas processing is used, Sapience Analytics aims to work with reputable providers and limit the information shared to what is reasonably needed for the relevant service.
